Bohol Coconuts “Tropical Island Getaway” Essay Contest Official Rules

Presented by Bohol Coconuts Baseball & Softball Club

1. Contest Summary & Purpose

The Bohol Coconuts Baseball & Softball Club (“BCBSC”) is hosting an essay contest fundraiser to support the purchase of youth baseball and softball equipment for our community programs in Bohol, Philippines. For a $20 USD entry fee, participants submit a 100-word essay answering the question: “Why do you need a Tropical Island Vacation?” One Grand Prize winner will receive a 30-day all-expenses-paid getaway to Bohol.

2. Eligibility

The contest is open to adults (ages 18+) worldwide.

Employees, officers, directors, and all family members of Bohol Coconuts Baseball & Softball Club, and its judging agents are not eligible.

Void where prohibited or restricted by law. All applicable federal, state, and local laws apply.

3. Contest Period

Start Date: December 1, 2025, at 12:00 AM Philippine Standard Time (PST).

End Date: February 28, 2026, at 11:59 PM Philippine Standard Time (PST).

Entries must be submitted and paid for within this period. BCBSC’s server is the official time-keeping device.

4. How to Enter & Entry Fee

Complete the official entry form with your full name, email address, country of residence, and contact number.

Paste your original essay (maximum 100 words) into the provided text field.

Pay the non-refundable $20 USD entry fee via the secure payment gateway. Accepted methods: Major Credit/Debit Cards.

You may enter multiple times, but each entry requires a separate $20 fee and a unique essay.

Entry Fee Refund Condition: If the total number of qualified entries received by the contest deadline is fewer than 300, the contest will be voided, and all entry fees will be refunded to the original payment method within 30 business days of the contest closing.

5. Essay Requirements

Topic: “Why do you need a Tropical Island Vacation?”

Length: Maximum 100 words (title not included in count). Essays exceeding this limit will be disqualified.

Content: Essays must be original, previously unpublished, and written in English. They must not contain material that is offensive, defamatory, or violates any third-party rights.

Ownership: By submitting an entry, you grant BCBSC a perpetual, royalty-free license to use, publish, and display the essay for promotional purposes.

6. Judging & Winner Selection

All eligible essays will be judged by a panel selected by BCBSC after the contest period ends.

Essays will be judged based on the following criteria:

Originality & Creativity (40%)

Clarity of Expression (30%)

Persuasiveness & Emotional Impact (30%)

The decision of the judges is final and binding in all matters relating to this contest.

7. The Grand Prize

One (1) Winner will receive: A 30-day tropical island getaway for one (1) person to Bohol, Philippines.

Prize Inclusions (Estimated Retail Value: $3,000 USD):

Round-trip economy class airfare from a major international airport nearest the winner’s residence to Tagbilaran City, Bohol.

Accommodation for 30 nights in the Bohol Coconuts Club Bed & Breakfast.

All daily meals provided by the Bohol Coconuts Club Bed & Breakfast.

Go beyond the tourist areas and experience a unique cultural exchange that embeds you within the local community and allows you to see firsthand how the Coconuts are more than just an elite youth baseball and softball club.

A curated tour package including visits to: The Chocolate Hills, The Philippine Tarsier Sanctuary, Panglao Island Beaches, and a Loboc River Cruise.

Travel Window: The trip must be booked and taken between August 1, 2026, and December 31, 2026. Travel dates are subject to accommodation and flight availability.

Prize DOES NOT INCLUDE: Travel insurance, passport/visa fees, incidental hotel expenses, souvenirs, personal purchases, or any other expenses not explicitly stated above.

8. Winner Notification & Announcement

The potential winner will be notified via the email and phone number provided during entry on or about March 1, 2026.

The winner’s name will be publicly announced during the premiere live stream of the YouTube series “Building the Coconuts” on March 1, 2026.

The winner must respond within 72 hours of notification and may be required to sign an affidavit of eligibility, liability release, and a publicity release. Failure to respond or complete required forms will result in forfeiture of the prize, and an alternate winner may be selected.

9. General Conditions

By entering, you agree to be bound by these Official Rules and release BCBSC and its agents from any liability related to the contest or prize.

BCBSC reserves the right to cancel, suspend, or modify the contest if fraud, technical failures, or any other factor impairs the integrity of the contest.

All proceeds from entry fees, after payment of the prize and operational costs, will go directly to the Bohol Coconuts Youth Equipment Fund.

10. Where to Find the Winner’s Name

After March 1, 2026, the winner’s first name, last initial, and country will be posted on the contest website for a period of 90 days.
